Comparison

Excel and WhatsApp vs gym software

A spreadsheet costs nothing and does the job, right up until the gym gets busy. Then the cost moves somewhere harder to see: the renewal nobody chased, the enquiry nobody answered, and close to two working days a week spent on things the gym could be doing by itself.

Chasing renewals

On sheets and chats

Someone scrolls the sheet for who is due, then types the same message to each of them. The ones missed on a busy day are the ones who quietly stop coming.

On Oxyye

The reminder goes before the date and the follow-up after it, on WhatsApp, without anybody remembering to send it.

Tallying the money

On sheets and chats

Cash in the drawer, UPI on a personal number, card on a machine that is not yours. Three records that have to be made to agree at the end of the day.

On Oxyye

However it arrives, it lands on one ledger with the receipt already sent. What came in and what is still expected is on one screen.

Keeping the register

On sheets and chats

A name written at the desk, typed into a sheet later, and a plan date that is right until somebody forgets a step.

On Oxyye

The member fills their own details from a joining link or a QR. The desk approves; nothing is copied twice.

Answering enquiries

On sheets and chats

A message at 10 pm sits unread until morning. By then they have walked into the gym down the road.

On Oxyye

Every enquiry lands in one pipeline with the reply and the visit booked from there, whatever time it came in.

Trainer schedules

On sheets and chats

A sheet of paper at the desk that only the person who wrote it can read, and a WhatsApp group to fix it when it changes.

On Oxyye

One calendar everybody sees the same way, with each trainer working from their own view of their day.

Knowing where you stand

On sheets and chats

A number you work out when you have an hour, which means a number you work out rarely.

On Oxyye

Collections, renewals due, who needs a call and what is at risk, ready before you open.

When a spreadsheet is still the right answer

If you have thirty members, one trainer and everybody pays in cash on the first of the month, a sheet is genuinely fine and software is overhead. The point where it stops working is not a member count — it is the first month you cannot say from memory who has paid and who has not.

You can bring the sheet with you when that happens. Your members import with their plans, renewal dates and history intact, and the trial is fourteen days with no card, which is long enough to run a full billing cycle on it before deciding.
